How FixHire protects and handles information.

FixHire Limited, operating as FixHire, respects privacy and is committed to protecting personal data, client information, confidential business information, operational information, and engagement-related materials entrusted to us.

This Privacy Policy explains how FixHire collects, uses, stores, processes, shares, protects, transfers, retains, and deletes information when individuals or organisations interact with our website, services, communications, forms, workshops, Product Studio engagements, Venture Studio activities, recruitment workflows, contractor workflows, AI-assisted workflows, and future product systems.

FixHire may collect your name, email address, company details, role, website usage data, startup stage, product information, discovery inputs, research materials, workshop notes, application materials, and communications.

We use this information to respond to enquiries, deliver services, manage engagements, prepare proposals, conduct discovery and validation work, operate websites and forms, improve workflows, send communications, manage recruitment, comply with legal obligations, and protect systems.

FixHire does not sell personal data. FixHire does not use raw client artefacts, customer lists, research files, PRDs, roadmaps, proprietary workflows, or confidential client documentation to train internal products or public AI systems without explicit permission.

This Policy applies to personal data and related information processed through www.fixhire.com, FixHire forms, discovery calls, newsletters, learning sign-ups, careers and talent network forms, partnership enquiries, proposal and onboarding workflows, client discovery sessions, customer research and validation workflows, Product Studio engagements, future Venture Studio engagements, workshops, meetings, email, chat, project management tools, collaboration tools, AI-assisted workflows, analytics, recruitment, contractor workflows, billing, support requests, and future product systems where enabled.

This Policy applies to website visitors, founders, startup teams, clients, prospective clients, research participants, partners, accelerators, venture studios, investors, contractors, consultants, applicants, subscribers, event participants, suppliers, service providers, future platform users, and other individuals interacting with FixHire.

This Policy should be read together with FixHire’s Terms of Service, Trust & Governance Framework, client proposals, Statements of Work, engagement letters, NDAs, Data Processing Agreements, contractor agreements, vendor agreements, cookie notices, consent forms, research participation notices, recruitment notices, and future platform-specific terms.

If there is a conflict between this Policy and a signed agreement, the signed agreement may prevail for that engagement to the extent permitted by law.

“Personal data” or “personal information” means information that identifies, relates to, describes, can reasonably be linked to, or can directly or indirectly identify a living individual. “Processing” includes collecting, recording, storing, organising, using, analysing, retrieving, disclosing, transferring, adapting, restricting, deleting, or destroying personal data.

“Client data” means information, materials, content, documents, data, inputs, research, workflows, feedback, customer information, or operational materials provided by or generated for a client in connection with an engagement. “AI-assisted workflow” means a process where artificial intelligence, machine learning, automation, large language models, or related tools support Product Ops execution.

FixHire’s privacy role may vary depending on the activity. For website analytics, forms, newsletters, legal requests, and public communications, FixHire will usually act as an independent controller.

For Product Studio engagements, FixHire may act as an independent controller for business administration and engagement management, and as a processor where it processes personal data strictly under client instructions. For client research and validation work, FixHire’s role may be processor, controller, or joint controller depending on the engagement design.

For careers, talent network, contractor applications, and recruitment-related processing, FixHire will usually act as controller. For future product systems, platform-specific terms and privacy notices may apply.

FixHire may collect identity information, contact information, business and engagement information, client confidential information, customer research and validation information, technical and device information, usage and analytics information, communications information, billing and transaction information, recruitment and talent network information, contractor and contributor information, marketing and community information, AI workflow information, and future product system information where enabled.

Examples include names, company names, roles, emails, phone numbers, websites, location or region, startup stage, company stage, market, product idea, business model, customer segment, assumptions, workflows, PRDs, roadmaps, research notes, feedback, meeting notes, invoice details, CVs, portfolios, prompts, summaries, generated drafts, and workflow outputs.

Unless explicitly required and agreed in writing, please do not submit health data, biometric data, government ID numbers, full payment card details, passwords, political opinions, religious or philosophical beliefs, trade union membership, sex life or sexual orientation information, criminal offence data, children’s data, immigration files, medical files, or confidential third-party personal data without authority.

If unnecessary sensitive information is submitted, FixHire may delete, restrict, return, or ignore it where appropriate.

FixHire may collect information directly from you through forms, emails, calls, meetings, workshops, onboarding, contracts, applications, interviews, support requests, and event registrations. We may also receive information from your organisation, clients, public sources, automated website technologies, and third-party tools such as email platforms, CRM systems, scheduling tools, analytics tools, cloud providers, collaboration platforms, project management tools, AI providers, automation tools, recruitment tools, and payment processors.

FixHire may process information to respond to enquiries, provide services, prepare proposals and contracts, conduct product discovery and validation, manage engagements, operate and improve the website, send marketing communications, manage recruitment and talent workflows, manage contractors and vendors, use AI-assisted workflows responsibly, protect rights, safety, and security, comply with legal obligations, and improve internal processes using anonymised or aggregated learnings where possible.

Where GDPR, UK GDPR, or a similar lawful-basis framework applies, FixHire may rely on consent, contract, pre-contract steps, legitimate interests, legal obligation, processor instructions, appropriate safeguards, or other recognised bases depending on the activity.

Where consent is used, you may withdraw consent at any time. Withdrawal does not affect processing carried out before withdrawal. Where legitimate interests are used, FixHire will consider whether its interests are overridden by individual rights and freedoms.

FixHire’s legitimate interests may include responding to business enquiries, improving website performance, maintaining security, preventing misuse, managing client relationships, improving services, maintaining business records, conducting proportionate B2B marketing, managing proposals, operating Product Ops workflows, protecting confidential information, improving internal templates and processes, managing recruitment, and enforcing legal rights.

FixHire may rely on consent for newsletters, optional marketing, optional cookies, research participation, call recordings, testimonials, case studies, logo use, certain AI-assisted processing, beta participation, and future product waitlists. You may withdraw consent by contacting legal@fixhire.com or using unsubscribe mechanisms where available.

FixHire may use cookies, pixels, tags, scripts, local storage, device identifiers, and similar technologies to operate the website, remember preferences, measure website usage, improve content, understand traffic sources, support security, manage cookie consent, improve user experience, and support marketing analytics where permitted.

Where required, non-essential cookies should be controlled through consent tools or browser settings. Cookie categories may include strictly necessary, security, preference, analytics, performance, marketing, and consent-management cookies.

FixHire may send newsletters, insights, founder education, invitations, service updates, and announcements where permitted. You can unsubscribe from marketing communications using available unsubscribe links or by contacting FixHire. Service, legal, privacy, security, billing, or engagement-related communications may still be sent where necessary.

FixHire may use AI-assisted tools to support research synthesis, documentation support, PRD drafting, prioritisation support, feedback analysis, market research, automation, and workflow analysis.

AI does not make final business or product decisions on behalf of clients. Material outputs should receive human review. AI-assisted outputs may be inaccurate, incomplete, biased, outdated, or unsuitable for a specific context.

FixHire aims to minimise personal data and confidential information submitted into third-party AI tools unless necessary for the engagement and permitted by applicable agreements. FixHire does not intentionally use raw client artefacts or confidential client documentation to train internal products or public AI systems without explicit permission.

FixHire does not intentionally make solely automated decisions that produce legal or similarly significant effects about individuals without appropriate safeguards. If this changes, FixHire should update this Policy and provide additional notices where required.

Client confidential information may include product concepts, customer lists, customer interview data, research outputs, roadmaps, internal metrics, business strategy, financial assumptions, operational workflows, technical documentation, vendor information, stakeholder comments, proprietary documents, market research, competitor analysis, investment materials, and fundraising materials.

Client confidential information is handled under this Policy, applicable agreements, and the Trust & Governance Framework.

Where FixHire supports discovery, validation, research, or feedback analysis, information may include interview notes, survey responses, participant feedback, user persona information, pain points, behavioural observations, prototype feedback, usability feedback, consent records, and research recordings where agreed.

Research collection should be proportionate to the research purpose and governed by appropriate participant notices or client instructions where required.

FixHire may share information with authorised team members, contractors, service providers, professional advisers, clients where appropriate, vendors, payment processors, analytics providers, AI providers, automation tools, recruitment tools, legal or regulatory authorities, or third parties involved in a business transfer.

FixHire does not sell personal data. Where subprocessors or service providers are used, FixHire aims to use appropriate contractual, confidentiality, security, and privacy safeguards.

FixHire may use third-party providers such as hosting providers, email platforms, analytics tools, collaboration tools, project management systems, scheduling tools, payment processors, AI providers, automation tools, recruitment tools, cloud storage providers, security tools, and professional advisers.

A subprocessor or vendor register may be maintained or provided where required by contract or applicable law.

FixHire operates globally and may process information outside your country, including across Nigeria, the United Kingdom, the European Union / European Economic Area, Portugal, Poland, Germany, Canada, and other locations where providers, clients, contractors, or systems operate.

Where required, FixHire will seek to use appropriate safeguards for international transfers, such as contractual terms, Data Processing Agreements, Standard Contractual Clauses, UK transfer mechanisms, adequacy decisions, risk assessments, data minimisation, encryption, access controls, and vendor due diligence.

FixHire retains information only as long as reasonably necessary for the relevant service, legal, contractual, tax, accounting, audit, compliance, security, operational, recruitment, dispute, or business purpose.

Indicative retention periods may vary by category. Client engagement records, invoices, contracts, legal communications, recruitment records, security logs, and marketing records may be retained for different periods depending on legal and business requirements. Where appropriate, FixHire may anonymise, aggregate, delete, or restrict data.

FixHire aims to use reasonable technical, organisational, and operational safeguards to protect information from unauthorised access, disclosure, alteration, loss, or misuse. Safeguards may include access controls, role-based permissions, confidentiality obligations, workspace separation, secure vendors, password and authentication controls, encryption where available, backup practices, security monitoring, and contributor onboarding.

No internet-connected system, email system, cloud service, AI provider, or collaboration tool can guarantee absolute security.

Where a data incident or breach occurs, FixHire will assess the facts, take proportionate containment and remediation steps, and notify affected parties or regulators where legally required. Incident response may depend on the nature of the data, role allocation, severity, legal obligations, vendor involvement, and applicable agreements.

Depending on where you live and which law applies, you may have rights to access, correct, delete, restrict, object to, transfer, or receive a copy of your personal data. You may also have rights to withdraw consent, object to marketing, complain to a regulator, or challenge certain processing activities.

FixHire services are not directed to children. We do not knowingly collect children’s personal data unless specifically agreed for a lawful engagement and governed by appropriate safeguards. If you believe a child has provided personal data without appropriate authority, contact legal@fixhire.com.

For careers, contractor, contributor, or talent-network interactions, FixHire may process CVs, resumes, portfolios, work samples, professional profiles, employment history, education, skills, role preferences, location, availability, compensation expectations where provided, interview notes, references, assessment results, and onboarding information.

Submitting application information does not guarantee employment, contractor work, interview, engagement, or future opportunity.

FixHire may process contractor and contributor information for onboarding, access controls, payment administration, project assignment, confidentiality management, security controls, conflict checks, performance feedback, tax or invoicing administration, and legal compliance.

For Venture Studio discussions or engagements, FixHire may process more detailed business, founder, product, financial, operational, cap-table, customer, investor, governance, and strategic information. Separate agreements may define data handling, confidentiality, ownership, and governance obligations for those arrangements.

Future product systems may involve user accounts, workspace data, project data, AI interactions, prompts, product decisions, PRDs, roadmap materials, validation artefacts, analytics, collaboration logs, audit trails, billing records, API logs, and integration data.

Before public release, FixHire should publish or provide platform-specific privacy notices and terms.

Where FixHire processes personal data on behalf of a client as a processor, a Data Processing Agreement or equivalent terms may address subject matter, duration, nature, purpose, categories of data, confidentiality, security, subprocessors, international transfers, breach duties, deletion or return, audit support, and assistance obligations.

FixHire may recommend or conduct privacy, security, AI, or data protection impact assessments where an engagement involves higher-risk processing, sensitive data, large-scale data, vulnerable groups, automated decision support, regulated sectors, profiling, or cross-border data transfer complexity.

FixHire aims to apply privacy by design and default by minimising data, limiting access, separating workspaces, using appropriate vendors, reducing unnecessary sensitive inputs, clarifying roles, documenting assumptions, and reviewing higher-risk workflows before deployment.

FixHire may disclose information where required by law, court order, regulator, lawful request, legal process, professional adviser, dispute, enforcement activity, security incident, or business transfer such as merger, acquisition, restructuring, or asset transfer.

Where possible and lawful, FixHire will seek to protect confidentiality and provide notice where appropriate.

FixHire may use anonymised, aggregated, or non-identifiable information to improve services, templates, workflows, methods, research practices, quality checks, internal processes, and governance. Such information should not reveal individual identity, client identity, proprietary implementation details, confidential strategy, or customer data.

FixHire will not publish client names, logos, testimonials, metrics, case studies, or identifiable confidential information without appropriate permission where required. Consent may be withdrawn subject to legal, contractual, and practical limitations.

FixHire websites or communications may link to third-party websites, platforms, tools, or services. FixHire is not responsible for third-party privacy practices, terms, security, content, or availability. Review third-party policies before using them.

FixHire may update this Privacy Policy from time to time. The current version should be indicated by its effective date, last reviewed date, or published version. Material changes may be notified where appropriate or legally required.
